Administrative Assistant 

Location: Blyth (Tales Without Borders)

Duration: 12 months with posibility to extend

We seek a reliable, motivated, organised and proactive Administrative Assistant with exceptional interpersonal skills to ensure alignment across services, processes, employees, volunteers and stakeholders.

The role requires facilitating effective communication and coordination within Teakisi and with our clients and stakeholders. The ideal candidate will have a systematic approach to processes, ensuring our initiatives reach intended audiences and that all internal and external parties are aligned on goals. This role requires someone with exceptional people skills, who is outgoing, sociable, and confident in promoting Teakisi’s work to a diverse range of people.

You will have strong communication and organisational skills to process client requests, handle feedback, and coordinate information flow so all team members stay aligned on projects and objectives. The ideal candidate is highly organised, detail-oriented, and capable of working independently.

  • Act as a primary contact for customers, clients, and suppliers across email, phone, and in-person or virtual settings.
  • Schedule and coordinate meetings, including booking conference rooms and arranging virtual platforms like Zoom or Teams.
  • Facilitate in-house and external events, supporting the Programme Manager as needed.
  • Promote Teakisi’s work confidently in various settings, engaging with individuals and groups from different backgrounds.
  • Build strong links with outside individuals and organisations.
  • Prepare and manage confidential documents and reports, ensuring discretion.
  • Submit reports, prepare presentations, and assist in drafting proposals.
  • Develop and update office policies and procedures for efficiency.
  • Process client requests, handle feedback professionally, and liaise with senior managers on requests and queries.
  • Maintain a digital filing system and ensure documents are well organised.
  • Prepare and distribute correspondence, agendas, and minutes of meetings.
  • Attend networking/community events and assist colleagues whenever necessary.

Experience/skills:

  • Proven experience as an Administrative Assistant, Virtual Assistant, or Office Admin Assistant.
  • Strong proficiency in MS Office (Excel, Word, and Outlook) and Google Drive.
  • Familiarity with collaboration tools such as Slack and scheduling tools like Calendly or Doodle Poll.
  • Familiarity with CRM and survey tools such as SurveyMonkey or Google Forms.
  • Excellent interpersonal skills, with the ability to engage and communicate professionally with diverse individuals.
  • Confident in promoting Teakisi’s mission and engaging with people in various settings.
  • Exceptional time management, organisational, and prioritisation skills.
  • Attention to detail and a proactive approach to problem-solving.
  • Ability to work independently, take initiative, and anticipate tasks as needed.

    15 hours a week/ 3 days a week (part-time)
